Map an actual enquiry

Choose a representative customer enquiry and follow it from first contact to the next commercial step. Note the fields, handovers and actions your team needs. This is more useful than asking whether a CRM has hundreds of features.

Make the demonstration specific

Ask to create a customer record, update a stage and record the next action. Review how a manager can understand activity. If a function is not available in the demonstration, record it as a requirement for assessment rather than assuming it is included.

Review information ownership

Agree who owns customer records, which users can change them and who can view reports. Check how duplicate records, missing information and staff changes will be handled. Access should match the business process.

Plan the move from spreadsheets

Identify your source records and decide which columns matter. Data clean-up and mapping need an owner. Test a small sample and review it before importing the full set. Confirm supported imports and exports in the actual application.

Compare the complete implementation

Include configuration, required development, data preparation, training, hosting, licences and ongoing support. Agree what makes the first rollout acceptable. A focused first phase is easier to validate than an undefined request to automate everything.
